How do I add an order by hand from the dashboard?

Create a manual order for a customer who ordered by phone, WhatsApp, Instagram or in person: click Add new order, pick the market, products and prices, pick or create the customer, set shipping, payment method and status, and see how it is billed and sent to your apps.

Some customers order by phone, on WhatsApp, in Instagram or Facebook messages, or in person. You can record these orders in Storeep so they sit in the same list as your store orders, go to your courier and Google Sheets apps, and take stock like any other order. You need the Orders permission.

Creating the order

  1. Open Orders and click Add new order.
  2. Market (only when you sell in more than one country): pick the customer's country. Prices, currency, shipping methods and address fields follow the market. Changing it clears the products you added.
  3. Products: search a product, pick it, then click the plus button. A line appears with the Option (the variant), the Price and the Quantity. The price comes from the market, and you can change it, for example to give a special price. You can add the same product again with another variant. A product with no price in that market cannot be added.
  4. Customer: leave it on New customer, or search an existing customer by name, phone or email. Picking one fills the name, phone and email from their latest order and the address from their last order in this market. Left on New customer, the order still joins an existing customer when its phone or email matches one of their orders.
  5. Fill in the customer fields. They are the same fields, in the same order, as your checkout form for that market, except the name: you always type one full name, even when your checkout asks for a first and last name. Only a phone number or an email address is needed, one of the two is enough, every other field is optional.
  6. Shipping method: pick one of the market's shipping methods. Shipping fee: leave it empty to use the method's price, or type your own fee (0 for free shipping).
  7. Payment method: Cash on delivery or Bank transfer.
  8. Order status: Confirmed by default. You can pick any status except Abandoned.
  9. Check the totals at the bottom (Subtotal, Shipping fee, VAT and Total). They update as you edit. Click Add.

What happens after you add it

  • The order gets the next order number and shows on the orders list like any store order.
  • The stock of each product is reduced. If there is not enough stock, you see how many units are left, and nothing is saved.
  • It is sent to your connected apps (courier and COD apps, Google Sheets, webhooks and others) and you get the new order notification.
  • It counts toward your plan and fees exactly like an order placed on your store. Moving it to Done marks it as paid.
  • If the customer's phone matches an earlier customer, the order is added to that customer's history.
  • The order has no browsing or tracking details, since no customer browser placed it.
  • Manual orders have no discount or coupon. Set the price you want on each line instead.

If your store owes usage fees above its billing limit, you see "The order has been added, it will show once your unpaid balance is settled". The order is saved but stays blurred until you pay. See How does my wallet, balance, due amount, and plan billing work?.

Adding a test order by hand

Type test in the name, company, address, state or region, city or note field and the order is saved as a test: it costs nothing and is left out of the export. See How do I place a test order?.

Common problems

  • "This product has no price in this market": add the product to that market with a price first. See Market pricing.
  • No shipping method to pick: the market has no active shipping method. Type the fee yourself, or add a method in Shipping methods.
  • "This customer no longer exists": the customer was deleted after you picked them. Pick again or leave it on New customer.
  • The phone is refused: the number must be valid for the order's market.
